Job Title Student Records Analyst
Job Summary

The Student Records Analyst is a functional resource person in the Office of the Registrar responsible for providing quality assurance with regards to transfer credit evaluations, auditing and validating the accuracy of converted data, oversees the records retention management process, and provides technical assistance relative to BANNER rules and forms. In addition, the Student Records Analyst serves as the liaison between the Office of the Registrar and the Office of Undergraduate Studies by providing registration assistance, troubleshooting queries with regards to academic records, and creating reports when needed.

Essential Duties and Responsibilities

•Builds, updates, and maintains BANNER transfer articulation catalog including the evaluation of transfer credit.
•Builds, updates, and maintains web page dedicated to students considering Spelman a viable transfer option.
•Performs a thorough review of converted data and validates its accuracy and informs Registrar of any issues warranting an in-depth review.
•Develops and maintains an operations manual for the work station.
•Oversees the electronic transcript requests process and keeps Registrar updated on latest advancements with regards to this technology.
•Will assist Registrar with identifying an electronic archival process for records predating digitized records and overseeing the implementation of the project.
•Assists in the implementation of BANNER related projects.
•Advises the Registrar about staff training opportunities for BANNER and other technologies.
•Will spearhead “Go Green” campaign by developing paperless forms that integrate seamlessly into the daily operation of the office usable by faculty, staff, and students.
•Builds and maintains the BANNER equivalency Table.
•Provides analytical reports as requested.
•Builds and maintains BANNER Pre-requisite and Co-requisite rules based on Spelman College catalog requirements.
•Assists in the fulfillment of departmental responsibilities as relates to baccalaureate and commencement ceremonies.
•Processes course replacements/grade forgiveness.

Required Qualifications

Bachelor’s degree and a minimum of five years of progressively responsible records management experience in a higher education setting, or equivalent combination of education and experience are required.
This position requires excellent customer service, interpersonal, and organizational skills. Candidate must have an eye for detail with exceptional analytical and computational skills. The ability to express abstract ideas in oral and written fashion is a plus. Previous functional and technical experience working in a college or university is required.

Incumbent must be experienced working in a unified digital environment with advance report writing skills. In addition, the selected candidate must have a thorough working knowledge of administrative software packages and an ability to analyze system processes and workflows and demonstrated analytical skills with the ability to gather and compile data and prepare reports and can demonstrate a working knowledge of SQL and PL/SQL syntaxes.

Incumbent must have advanced computer skills in all Microsoft Office Suite (Word, Excel, and PowerPoint). Knowledge of the BANNER ERP system a plus. In addition to producing correspondence, memos, and emails, duties may involve assignments that require the use of spreadsheets, tables, computer-generated graphics, Internet navigation, and Lotus Notes. Experience working with a digital imaging system and familiarity with “System Thinking” relative to its usage in an information-driven environment is highly desired.
