Job Summary

The Associate Director of Alumnae Affairs is responsible for providing leadership support and coordination for the development and implementation of major alumnae events, programs and communications with the ultimate goal of increasing the number of alumnae involved with the College as volunteers and donors, in support of the institutional mission.

These events, programs and communications include, but are not limited to, managing the Spelman College Class Agent/SpelAgent/E-Agent initiative, Reunion; Alumnae Awards and Recognition; iModules (Software solution for alumnae engagement); young alumnae initiatives; Alumnae Directory; College Recruitment; national and international outreach activities including working with the National Alumnae Association of Spelman College (NAASC) and other alumnae and class groups. Supporting all Events and Programs, including but not limited to New Student Orientation, Homecoming and Founders Day; Regional Engagements; Alumnae-Student Connections (mentoring and support); Pre-alumnae activities; and other campus events in which alumnae participate.

Essential Duties and Responsibilities

•Plans, executes and evaluates the Spelman College Class Agents/SpelAgents/E-Agent initiative, designed to identify active volunteers representing each graduating class. The Associate Director will be responsible for identifying and training Class Agents (programs) E-Agents (electronic/social media communications) and work closely with the Annual Giving staff to identify and train SpelAgents (fundraising).
•Serves as Alumnae Affairs team lead for Reunion to ensure execution of program objectives and that the agreed-upon outcomes are achieved. Develops, executes and evaluates project plan; prepares briefing documents and cost-effective management of the budget plan. The Associate Director determines committee structure and keeps Director and stakeholders informed by reporting challenges, timelines, and status updates. Ensures that College Relations and Institutional Advancement divisional staffing resources are identified and recruited and determines and implements process improvements. Responsible for all communication; decision-making and the overall success of Reunion.
•Serve as Team Lead and primary administrator for iModules, an alumnae engagement software to manage and execute an online strategy for content management (website), email marketing, online giving, event management, membership management, and social networking integration (online community). As the primary administrator, you must manage contract negotiations, new software advancement rollouts and training and development of staff and students.
•Serves as the liaison to the Office of Admissions to plan, provide training and support for the Spelman Team of Alumnae Recruiter Program that assists with the College’s annual new student recruitment efforts.
•Seeks, develops and implements programming to recognize alumnae achievements; i.e., young alumnae, Spelman Connections, UNCF, Honorary Degree, HBCU Hall of Fame etc.
•Serves as College liaison to the National Alumnae Association of Spelman College (NAASC), including Executive (working with the national executive secretary to coordinate logistics for the semi-annual executive committee and annual meeting, and chapter leadership and regional conference planning teams and other alumnae and class groups.
•Serves as a member of the leadership team (Director, Office of Student Life and Engagement, Office of Student Affairs) for Alumnae-Student Connections Cultural and Educational excursions for candidate selections; program implementation; to supervise and chaperone student participants; and evaluate program successes and challenges.
•Uses research, information, and innovation to institute national and international outreach events and activities for alumnae, including the alumnae global travel program, continuing education opportunities and networking and mentorship activities.
•Supports the Director in conceptualizing, writing and editing articles and other submissions for Inside Spelman, the Spelman Messenger, the Spelman Connection, Alumnae Affairs web content, stewardship publications and other College publications, and communications materials.

Required Qualifications

A bachelor’s degree and at least three years of related and progressive work experience are required. Experience in a college or university alumnae/i relations, development, special events or student affairs office, or other equivalent experience (volunteer management, not-for-profit) is highly desirable. Also, previous supervisory experience is required.

Significant evening and weekend work and travel are required.

Successful candidates must be self-motivated, self-starters, have strong project management, program development, time management and organizational skills.
Excellent communication skills including writing, public speaking, and effective group interaction are also required.

Strong technology skills; experience with iModules is a plus. The ability to work with distractions and handle multiple tasks is essential.An ability to interact effectively with persons of various ages and experiences, including handling difficult situations and motivating volunteers, is essential.

Required to complete routine work without instruction, to interface with other departments/units on campus, to use significant influence advising, counseling, and making recommendations to alumnae.Must exercise judgment within generally defined practices and policies of the office, and use professional concepts and established policies to solve a variety of problems.

Must exercise Civility, Commitment, and Consistency in all aspects of the work and related assignments.
