Job Summary

The Project Assistant is a part-time (20 hours per week), grant-funded position. Reporting directly to the Principal Investigator, the Project Assistant is responsible for assisting with the implementation of the Student Health Empowerment II (SHE II) Program which includes, coordinating and supervising social marketing outreach activities, health message dissemination programs, and assisting with work/group meeting scheduling and implementation and communication to coalition members about program activities. The Project Assistant is responsible for administrative tasks related to purchasing, managing invoice submissions from vendors and sub-contractors, and tracking program related expenditures.

Essential Duties and Responsibilities

· Schedule and coordinate SHE Media Scholars meetings;
· Schedule and coordinate coalition meetings;
· Facilitate recruitment activities for dissemination activities such as:
o Assist with advertising for student programs;
o Manage student inquiries;
o Facilitate student weekly meetings;
o Coordinate student compensation;
· Assist Social Media Coordinator with social marketing activities (including website updates);
· Assist with on-campus intervention activities:
o Schedule room reservations;
o Print and gather materials;
o Respond to study inquiries from potential participants;
· Input grant reports to SAMHSA (using Common Data Platform);
· Carry out general clerical duties such as copying, typing various forms of correspondence (i.e. letters, reports, proposals, forms, envelopes), and mailings;
· Assist with purchasing and invoice-related tasks including:
o Processing purchase requisitions and check requests;
o Providing follow-up to ensure receipt of items and proper payment;
· Work closely with various offices on campus regarding logistics for meetings, arranging for meals, media services, and other services required to facilitate various departmental activities;
· Serve as point of contact between community partners and Spelman team.

Required Qualifications

High school diploma and a minimum of three years of job related experience is required.

Excellent interpersonal, record keeping, organizational, and customer service skills are required. This position requires demonstrated ability to prioritize effectively, interact in a diverse community, and function in an active daily environment. Professional demeanor with the ability to interface with internal and external customers such as, community partners and government public entities with diplomacy and tact is essential. Work requires fact-finding and compilation skills plus ability to perform a variety of tasks simultaneously, at times with little supervision.

Excellent oral communication skills are required when providing information and responding to questions from students, campus administration, employees and the general public in one-on-one or group situations. Incumbent must be able to write business correspondence and procedure manuals plus compose memos, letters, and emails. Also, must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Good proofreading skills are essential.

This position requires basic level skills in specific Microsoft Office applications and may require intermediate or advanced levels in one or more applications. In addition to producing correspondence, duties may involve assignments that require creating spreadsheets using formulas, tables, creating newsletters, and the use of Lotus Notes and Banner Financial Module. Requires the ability to type at least 45 wpm. Must be capable of using electronic filing. Must be able to generate graphs and Power Point presentations.

Preferred Qualifications

Bachelor’s degree in a related field and two years of project management or entrepreneurship experience is preferred.
